LegalPrivacy policy
INITIAL, SASU, SIREN 105 377 675, as data controller, collects only the data necessary for contact and for providing training, support and implementation services.
Contact, booking and preparation of your support
Correspondence and quote requests are used to respond to your request and prepare the services you are considering. They are based on pre-contractual measures taken at your request, then on performance of the contract when a service is commissioned.
The training form collects your professional contact details, organisation, city, headcount, format, administration arrangement, preferred period and objectives. When you proceed to the calendar, this information is transmitted to Cal.com to prepare the appointment. Initial receives the booking when you confirm the time slot. This call does not reserve the in-person training dates.
When you book an express audit through Cal.com, Initial receives, in addition to your name and email address, the company name and billing address and, if you provide them, the SIREN number and the EU VAT number. This information is used to issue the audit invoice in Pennylane, Initial’s invoicing tool, and is retained with the accounting records.
Questionnaire and Notion workspace
The full questionnaire helps us prepare your express audit: it covers your team, activity, tools, AI use and priorities. An internal preparation sheet is automatically generated from your answers to prepare this audit. The firm’s name, the respondent’s identity and email are required to process the request; other answers are optional. Do not enter any personal data relating to your clients or any case content.
Answers are sent to Initial only at the final step, when you submit the form. They are stored in Initial’s Notion workspace and accessible to authorised team members to prepare your audit or support. They are not published on the website. A recap is sent in two separate emails: to Initial and to the professional address you provide, through Initial’s Google email connected to Notion. Check your address before sending your answers.
A draft is kept in your browser’s session storage, in the tab you use. It allows you to recover your answers after navigation or a refresh. It stops being reusable after 24 hours of inactivity and is erased after a confirmed submission or using the ‘Clear my draft’ button. On a shared device, erase it before ending your session. If the browser restores tabs, their storage may also be restored.
Discovery call and preparation questionnaire
When you book a discovery call through Cal.com, Initial receives your name, email address, firm name, the date and time of the call, and the Cal.com booking identifier. This information is recorded in Initial’s Notion workspace to prepare the call.
If you answer the short preparation questionnaire, your answers are recorded in the Notion record of your booking (or in a separate record when no booking can be matched) and sent by email to Initial through Resend. Do not enter any personal data relating to your clients or any case content.
A single reminder email is sent, through Resend, to the address used for the booking, about 24 hours before the call, only if the call was booked at least 24 hours in advance and the questionnaire has not been completed.
Audience measurement
The website measures its audience with Vercel Web Analytics, without cookies. It records the pages viewed, the referrer, the country and the device and browser type, in aggregated form, to count visits and clicks on booking buttons.
Recipients, hosting and transfers
Vercel hosts the website and processes requests; Notion stores submitted answers and triggers email recaps; Google sends them and stores them in Initial’s email; Cal.com processes booking information; Pennylane issues and stores invoices; Resend sends the notification and reminder emails. These providers act under their data protection terms. Some processing may take place outside the European Economic Area. Applicable safeguards depend on the providers’ agreements, including standard contractual clauses where required. We do not guarantee that data from this questionnaire is hosted exclusively in France.
See the information from Notion, Vercel and Cal. Contact us for details of the safeguards applicable to your request.
Retention
Requests and questionnaires that do not lead to a service are deleted no later than three years after the last active contact with you. When an engagement starts, useful information is retained during it, after which only documents needed for our legal obligations or the defence of our rights are archived, with restricted access. Accounting documents are retained for ten years. You may request earlier deletion of data that is no longer necessary.
Booking data, answers to the preparation questionnaire and the reminder record follow the same rule: they are deleted no later than three years after the last active contact with you, unless an engagement has started.
To limit abusive submissions, the server temporarily uses a fingerprint of the IP address in an attempt counter. Answer content and the Notion key are not logged by the form.
Your rights
Depending on the situation, you may request access, rectification, erasure, restriction or portability of your data and object to processing based on legitimate interests. Contact: jimmy@initial.legal. You may also lodge a complaint with the CNIL.
Anesya for Lawyers is subject to a specific Data Processing Agreement provided before any processing. Inference operates on sovereign Scaleway infrastructure in France.
